Hi Mr. [General Manager],
We’re really looking forward to our stay at [hotel name] next week, as it will be my first visit to your hotel. I’m writing to ask if you can help us make it an extraordinary [#] days by upgrading our rooms to the very best possible. As a [insert if you are a member of their loyalty program and include your #]/OR when traveling for work or pleasure, I almost never ask for upgrades. However, this is an entirely different trip: it’s a special vacation with [insert who you are travelling with and why – personal stories are helpful], and to have a large suite where we could really experience the luxury of your hotel would certainly make it a more incredible stay.
To that end, I am asking that if you have a [important to insert the specific name of the suite you are looking for] unsold at the time of our check-in, we would greatly appreciate the upgrade. I fully understand that if someone comes along prepared to pay for those rooms, we would need to relinquish that upgrade. We’re only asking for the chance to enjoy what you don’t happen to have sold for the specific days of our stay.
In return I can assure you that I would write a fantastic review of our stay on Tripadvisor, actively promote your hotel to my friends and colleagues traveling to [destination], and if a work or personal engagement brings me back to [insert city], I will happily stay with you again.
